"Managed IT support" gets used loosely enough that it's worth being precise about what it actually means: one provider takes ongoing responsibility for your IT, rather than you calling someone when something breaks. That's the whole distinction, and it changes more than it sounds like it would.

Managed Support vs. Break-Fix: The Real Difference

Break-fix is exactly what it sounds like: something goes wrong, you call someone, they fix it, you get an invoice. There's nothing wrong with that model for very occasional, isolated problems. The issue is that nobody is watching your systems in between calls, so the first sign of a failing server or a compromised account is often the problem itself, not a warning beforehand.

Managed support flips that. You pay a fixed monthly fee, and in return we're actively monitoring your systems, patching software, managing backups, and generally trying to catch problems before they become downtime. It costs more than doing nothing and hoping, but less than the break-fix model tends to cost once you add up the actual disruption.

What's Typically Included

The exact scope varies by provider, but a proper managed IT arrangement usually covers:

  • A helpdesk your team can actually reach, for day-to-day issues, not just emergencies
  • Ongoing monitoring of servers, devices, and cloud services, so problems get caught early
  • Patch management, scheduled updates rather than systems quietly falling behind
  • Backup management, with backups that are actually tested, not just scheduled
  • Cybersecurity, covering email filtering, endpoint protection, and multi-factor authentication as standard
  • Regular reporting, so you know what's happening with your IT rather than finding out when something fails

What It Costs, and Why Fixed Pricing Matters

Most managed IT support is priced per user, per month, which is worth understanding before you compare providers on headline price alone: what's included at that price varies a lot, and "unlimited support" doesn't always mean what it sounds like. The upside of fixed monthly pricing is straightforward: you can budget for it. The break-fix alternative isn't necessarily cheaper, it's just unpredictable, and unpredictable costs are hard to plan around.

Is Managed IT Support Right for Every Business?

Not always, and it's worth saying that plainly. A sole trader with one laptop and a Microsoft 365 subscription probably doesn't need a full managed arrangement. The value shows up once you've got a team relying on shared systems, sensitive data to protect, or enough at stake that a day of downtime actually costs you something.
