Moving to a Cloud Phone System: What Actually Worries People, and Whether They Should

Traditional phone systems have one great virtue: they’ve been sitting there working for years, and nobody has to think about them.

That makes replacing one feel like taking a risk for no obvious reward. The phones work. Why interfere?

There are good answers to that, and there’s also a deadline approaching that makes the question less optional than it used to be. But the honest place to start is with the worries, because most of them are reasonable and most of them have straightforward answers.

First, the Bit That Isn’t Optional

The traditional UK telephone network is being retired. The analogue and ISDN services that older phone systems depend on are being switched off, and once that happens, systems relying on them stop working.

The timetable has moved more than once, so it’s worth checking the current position rather than working from a date you heard a while ago. What hasn’t changed is the direction: traditional lines are going, and every business using them will move to an internet-based system eventually.

That reframes the decision. It isn’t “should we change”, it’s “do we change on our own timetable, having planned it properly, or in a hurry when we run out of runway”.

“Will Call Quality Be Worse?”

This is the most common concern and it deserves a straight answer: it can be, if the connection and network aren’t right. Cloud phone systems carry calls over your internet connection, so they depend on it in a way your old system didn’t.

That’s exactly why it gets assessed before anything is installed. What matters is not just how fast your connection is but how stable it is, and whether voice traffic is prioritised over everything else on your network. A busy office where a large file upload can drown out a phone call has a configuration problem, not a cloud problem.

Get that right and call quality is typically better than what it replaced, because the audio quality of modern systems exceeds what traditional lines carried.

The honest summary: this is the one genuine technical risk, it’s well understood, and it’s addressed by checking the connection first rather than hoping.

“What Happens If the Internet Goes Down?”

A fair question, and the reason it needs answering is that with a traditional system, a broadband outage didn’t stop the phones.

The answers in practice:

Calls follow your people, not your building. Because the system isn’t tied to a box in your office, calls can be diverted to mobiles automatically if the office connection drops. Staff can keep working from the mobile app on 4G or 5G.

Failover can be built in. Depending on how important continuity is, a secondary connection can take over.

The platform itself is resilient. It runs in data centres with redundancy, rather than on hardware in your building that has a single power supply and no backup.

Worth thinking about the reverse case too. With a traditional system, if the box in your office failed, or the building was inaccessible, your phones were gone. Cloud systems are considerably more robust against that.

“Will We Lose Our Phone Numbers?”

No. Number porting is a routine part of the process. You keep your existing numbers, including your main business number.

It’s worth confirming timescales as part of planning, since porting involves the outgoing provider and isn’t instant, but it’s a well-established process rather than a risk.

“Will the Switchover Be Disruptive?”

This is where planning does the work. A sensible migration involves the new system being set up, configured and tested while the old one is still running, then a cutover at a quiet time.

Handsets, call routing, voicemail and the numbers all get configured in advance. Staff can be shown the new system before it goes live rather than on the morning it does.

The disruptive migrations are the rushed ones, which is another argument for moving before the deadline forces the timing.

“Will Our Staff Cope With It?”

Generally better than expected, for two reasons.

Handsets still look and work like phones. If people want a physical phone on the desk, they can have one, and the basics behave as they always did.

And for anyone already using Teams daily, calling from inside Teams is a small step rather than a new system to learn.

Where training helps is with the features people didn’t have before, transferring properly, using call groups, setting up voicemail to email. Worth doing, and usually short.

“Is It Secure?”

Calls are encrypted in transit, and the platform sits behind the same kind of security controls as your other cloud services, including multi-factor authentication on the administrative side.

An older on-premise system, by contrast, often has an administrative interface that hasn’t been updated in years and a password nobody has changed. Cloud is generally the stronger position here rather than the weaker one.

What Actually Improves

Beyond replacing something that’s being switched off:

Calls work anywhere. Home, office, on the road, another site. Same number, same setup.

Call handling gets better. Menus, hunt groups, out-of-hours routing, and rules that change by time of day are standard rather than expensive extras.

You can see what’s happening. Call reporting and analytics show volumes, missed calls and response times, which is genuinely useful for anyone managing a sales, service or reception team.

No hardware refresh cycle. The platform is maintained by the provider rather than becoming an ageing box in your building.

Which Route: A Cloud Phone Platform or Microsoft Teams?

Both are cloud systems and both will work. The choice comes down to how your business actually operates.

What Migration Involves

  1. Assess the connection and network. Bandwidth, stability, and whether voice traffic can be prioritised.
  2. Work out what you have now. Numbers, extensions, call routing, anything unusual that needs replicating.
  3. Choose the platform based on how your teams work.
  4. Configure and test while the existing system stays live.
  5. Port the numbers, planned around a sensible date.
  6. Cut over at a quiet time, with the old system available as a fallback until you’re satisfied.
  7. Show people how it works, particularly the features they didn’t have before.

The Practical Point

The traditional network is going, so this move is coming regardless. The choice is whether it happens on a timetable you control.

The genuine technical consideration is your internet connection, and that’s assessable in advance rather than something to find out afterwards. Everything else, keeping your numbers, staff adapting, disruption during the switch, is a matter of planning rather than risk.
