That Server Under the Desk: What Is It Actually Doing?
There’s a box in the corner of the office. It might be under a desk, in a cupboard, or on a shelf in the stationery room. It hums, it has a light on the front, and it’s been there for years.
Nobody currently working in the business knows exactly what it does. What everyone knows is that when it was accidentally switched off that time, several things stopped working, and the IT provider was quite firm that it needs to stay on.
That’s an uncomfortable position: paying to keep something running, being told it’s essential, and having no way to judge whether that’s true.
This is about how to find out, and what your options are once you know.
Why It’s Worth Looking Now
An old server sitting in an office carries risks that build up quietly.
The hardware is ageing. Server hardware doesn’t last forever, and one that’s been running continuously for years is well into its later life. If it’s out of warranty, a failure means sourcing parts or a replacement in a hurry.
The software may be out of support. Windows Server versions reach end of support on published dates, after which they stop receiving security updates. Several versions commonly found in small businesses are already past that point. Worth checking which version you’re on.
It’s usually a single point of failure. One server, one power supply, one set of disks. If it stops, whatever depends on it stops too, and how quickly you recover depends entirely on how good the backups are.
Its physical situation is often poor. Under a desk means dust, warmth, feet near cables, and no protection from a knocked plug. A cupboard means no cooling. Neither has the power protection, ventilation or physical security a server would get in a proper rack.
The backup may be local only. A backup drive sitting next to the server protects you from disk failure but not from fire, flood, theft or ransomware that reaches both.
Nobody documented it. This is the real problem underneath all the others. If nobody knows what it does, nobody can assess the risk, plan a replacement, or say confidently what would break.
Working Out What It Actually Does
Before deciding anything, you need an inventory of its jobs. Most small business servers are doing some combination of the following.
Handling logins. Running Active Directory, which authenticates your staff and applies settings and policies to their machines. If everyone signs into their PC with a company username, this is probably it.
Storing files. Hosting shared drives, the mapped network drives that appear as letters on people’s computers.
Managing printers. Acting as a print server.
Running a line of business application. Accounting, practice management, stock control, or something industry specific. Often with a database behind it.
Being a backup target. Other machines back up to it.
Providing remote access. Sometimes people connect to a desktop session hosted on it.
Handling network services. Assigning addresses on the network, or local DNS.
Any competent provider can produce this list. Asking for it is entirely reasonable, and the answer tells you a great deal. A provider who can itemise what the server does and what depends on it is looking after it properly. A vague answer is worth pressing on.
What Moves to the Cloud Easily
Once you know the jobs, you can look at them one at a time. Some move very cleanly.
Logins and identity, to Microsoft Entra ID
Entra ID is Microsoft’s cloud identity service, and for many small businesses it can replace what Active Directory was doing on the server. Staff sign in with their Microsoft 365 credentials, devices are managed centrally, and there’s no server to keep running for authentication.
Worth checking first: whether anything depends on the traditional domain. Some older applications expect it, and some equipment authenticates against it. This is usually the thing that determines whether identity can move fully or needs a hybrid arrangement for a while.
Shared files, to SharePoint and OneDrive
For most document based work, mapped drives can move to SharePoint and OneDrive. People get access from anywhere, versioning comes as standard, sharing with people outside the business becomes straightforward, and there’s no file server to maintain.
Worth checking first: SharePoint suits documents well. It is less suited to very large files, files with very long folder paths, media libraries, CAD and design files, or anything an application needs to open directly from a network drive. Those workloads exist and they need a different answer rather than being forced into SharePoint, where the result is usually slow and frustrating.
Printing
Print management can generally move away from a server, either to a cloud print service or by connecting printers directly.
Backups
Cloud backup removes the local-only weakness, and is usually straightforward to set up.
What Often Can’t Move, or Shouldn’t
This is the part that determines whether the server goes away entirely or just gets smaller.
A line of business application with no cloud version. Plenty of industry specific software still requires a server, or has a cloud version that costs considerably more or works differently. If your business runs on such an application, it sets the pace for everything else.
Very large data sets. If you have a lot of data, particularly large files, moving it and then working with it over an internet connection needs thinking through. Sometimes the answer is a different cloud service rather than SharePoint. Sometimes it’s keeping it local.
Connectivity constraints. Moving everything to the cloud makes your internet connection critical. If your connection isn’t reliable or fast enough, that needs addressing first or the migration makes things worse rather than better.
Cost, in some cases. Cloud is often cheaper overall once you account for hardware, power, maintenance and replacement cycles. But not always. A steady, predictable workload can sometimes be cheaper to run on hardware you own. It’s worth actually comparing rather than assuming either way.
Regulatory or contractual requirements. Occasionally there are specific requirements about where data sits.
Hybrid Is a Normal Answer
The choice isn’t between a server under a desk and no server at all.
A very common outcome is that most of the jobs move, identity, files, printing, backups, and what remains is one specific application that genuinely needs local hosting. At that point the server is doing one job instead of seven, which is far easier to protect, back up and eventually replace.
Sometimes the sensible answer is to move what moves easily now and revisit the stubborn application when it’s next up for renewal or replacement.
How to Approach It
- Get the inventory. Ask your provider what the server does and what depends on it. Get it in writing.
- Check the support status of the server operating system and the hardware warranty.
- Check the backups. Where do they go, and when was a restore last tested?
- Take the jobs one at a time. For each, establish whether there’s a cloud equivalent, what it costs, and what would need to change.
- Identify the blockers early. Usually one application or one large data set determines the shape of everything else.
- Check your connection. If more moves to the cloud, connectivity becomes more important.
- Then plan the order. Identity and files are often first, because they deliver the most benefit and are the best understood.
The Point
You shouldn’t be in a position where something essential is running in your office and nobody can tell you what it does or what would happen if it stopped.
Whether it eventually moves to the cloud is a separate question, and the honest answer will depend on what you find. But knowing what’s on there, whether it’s supported, and whether you could recover it is not optional, and it’s a reasonable thing to expect from whoever looks after your IT.
